Automated offers are one of Kinside’s most powerful tools for filling your open spots quickly and efficiently. Instead of manually reaching out to families, Kinside scans your waitlist and automatically sends offers to families who are the best fit for your opening. This ensures that families hear from you faster, while giving you more time to focus on running your program.
How Automated Offers Work
When you enable automated offers on a spot:
Kinside reviews your waitlist in the order families signed up.
The system considers start dates, siblings already enrolled, subsidies, and your custom waitlist questions (if you’ve set them).
Families who meet your criteria receive an offer email directly from Kinside.
You’ll receive an email notification when an offer is sent and again when a family responds.
If no families are an exact match, Kinside may identify close matches so you can decide whether to extend an offer.
Benefits of Automated Offers
Faster enrollment: Families hear from you immediately when a spot opens.
Less manual work: No need to send out offers one by one.
Fair process: Families are contacted in waitlist order, with your criteria applied.
Flexibility: You can define age ranges and subsidy preferences, or leave them open.
When to Use Automated Offers
Automated offers are ideal when:
You want to move quickly to fill an opening.
Your waitlist is long and you’d like Kinside to streamline the process.
You prefer an unbiased, consistent system for reaching families.
When You Might Pause Automated Offers
There are times when it makes sense to temporarily pause:
Direct Offer to a Specific Family – If you want to bypass automation to make a personal offer.
Near Capacity – If you’re close to your limit and want to double-check before filling the final spot.
Staffing Changes – If your capacity is shifting and you aren’t sure how many openings you’ll be able to keep.
Pausing stops automated offers from going out, giving you time to decide.
How to Enable Automated Offers
When creating or editing a spot, simply select “Use offer automation on this spot.”
You can also set flexible age ranges and subsidy preferences.
If enabled, the spot will not be published to your public profile—it will only be shared with families who match from your waitlist.
Managing Automated Offers
Pause/Resume: Temporarily stop or restart automated offers at any time.
Unpublish: Hide the spot from your public profile (automation will still run if enabled).
Remove: Permanently delete a spot if you no longer need it.
Key Things to Remember
Families receive offers in the order they signed up, with your criteria applied.
You’ll always be notified when offers are sent and when families respond.
You stay in control—automation saves you time but doesn’t remove your ability to intervene.
Pro Tip: If you’re unsure, start with automation on one spot and see how it works for your program. Most providers find it dramatically reduces the time it takes to fill openings.
